Visitor Management System in India: A Slow Walk to Digitalization?

    From our experience in the visitor management space, we’ve seen that visitor management in India is still growing in adoption. While interest is high, the market is at a nascent stage, with many organizations just beginning to explore digital alternatives to manual registers.

But in smaller towns and mid-sized offices, cost and familiarity often keep people tied to traditional registers.

    In our conversations with security heads and admins, we’ve noticed that process automation in visitor management or other operations in general in India has a long way to go. We’ve identified a few reasons why this may be so.

    Why A Slow Walk?

    Many older Indian buildings still use heavy iron gates with manual locks. One facility manager admitted that their “smart visitor system” was operational only after conducting a manual check before they were allowed entry into the main gate. That’s the reality—new tech often struggles to blend with outdated infrastructure. It’s a bit like trying to install Bluetooth in a typewriter.     We’ve also observed that many times, the decision to digitize the visitor process often depends on the size and budget of the organization. Large enterprises see value in smart, cloud-based systems that provide accountability, while smaller residential complexes sometimes view it as a luxury. However, visitor management in India is becoming more cloud-based and mobile-friendly, lowering the barriers to entry and making it easier for different types of organizations to adopt them.

    One thing that comes up again and again in client interactions is the influence of safety and compliance. The demand for a secure digitized process is being shaped by growing concerns around security, audits, and regulatory requirements. In 2023, India passed the Digital Personal Data Protection Act, which made many organizations rethink how they handle visitor data.

    Systems are also evolving—QR codes, mobile apps, and touchless check-ins are no longer futuristic ideas; they’re being used every day, especially after COVID heightened awareness of hygiene.

    Through our talks with potential customers, we’ve also realized that the need for unified systems is expected to grow rapidly with the broader digital transformation trend.
