Transforming High-Volume Visitor Management at A Multi-Tenant Campus
From manual and slow visitor process to automated and quick entry-exit
At a high-volume commercial campus, visitor management is one part of a much larger physical operations environment involving tenants, people, access, and movement. The VersionX Physical Operations Platform unified these processes to simplify visitor entry, strengthen control, and improve day-to-day operational efficiency.
The Challenge
With 8,000+ visitors a day, visitor processing was creating significant pressure at the entry and exit points.
- Slow entry and exit: Processing each visitor took around 5 minutes end-to-end, with queues of 2–3 minutes at entry and exit.
- High manpower dependency: 17 staff were required to manage the visitor process.
- Host consent delays: Visitors often waited for host approval; in most cases entry was processed without host consent.
- Multiple visitor categories: The premise needed to handle visitors, tenant staff, long-term visitors and temporary staff with different access requirements.
The Approach
Ground-Level Problem Solving
Rather than designing the workflow only from a system perspective, the VersionX team spent time on the ground at the entrance, observing visitor behaviour, entry and exit flows, staff interactions, and operational bottlenecks.
The system was then tweaked based on these ground realities, with the objective of making every step faster and simpler for both visitors and operators.
The Solution
Faster, Simpler, Multi-Option Entry
- Both self-entry and operator-based processing were enabled.
- Host “Consent Request” was automated.
- The UI was made intuitive for rapid processing, with automatic camera activation and visitor photo capture.
Multiple Ways to Create an Appointment
- Enabled appointment creation for all relevant parties.
- Visitors could also self-create appointments through a registration link.
- E-Passes were sent to visitors via email.
Tenant-Level Visitor Management
- Tenant organisations could be added through the management console, with individual login credentials for managing their visiting staff.
- Different passes were created for visitors entering different towers.
Controlled and Time-Bound Passes
- Visitor passes were configured to expire at midnight.
- Temporary staff received different pass types, with validity dates and instructions.
- Long-term visitor passes were also supported.
Security and Accountability
- Role-based data access: Personal information such as mobile numbers and email IDs is restricted to authorised super admins based on access rights.
- Reception user controls: Reception staff use individual PINs to securely log in and out of the app.
- Complete activity audit: Admins can track staff login/logout times, app activity and visitor slips generated through detailed audit reports.
- Automatic logout: Sessions automatically expire to prevent unauthorised access on shared reception devices.
