Across A Multi-Tenant Ecosystem
Summary
Large-scale commercial IT/ITeS parks are multi-tenanted environments that involve complex physical operations. High-volume visitor and vehicle traffic pose immense operational friction. Relying on manual processes or basic, unintegrated software results in bottlenecks at access gates, resource allocation disputes, and blind spots in security reporting.
This case study reviews the implementation of VersionX Physical Operations Platform for one such client to automate their visitor, parking, and access management.
The Challenge
Prior to modernization, processes were managed on an obsolete, PC-based visitor logging system and manual parking enforcement that lacked actionable intelligence. Primary pain points included:
- Processing ~500 visitors daily
- Managing separate 2-wheeler and 4-wheeler parking quotas across multiple tenants
- Multiple access points/gates
- Tenant visitors, appointments, and parking not connected to the central security process
- Lack of visitor and parking visibility, both historical and real-time
- Lack of tenant-specific visibility into parking availability and occupancy
The Solution
We replaced manual and legacy infrastructure with a cloud platform and integrated the processes with edge-level IoT hardware. This created a unified technology layer to coordinate visitor, parking, and physical access operations across the campus.
Self-Service VMS and Secure Digital Passes
- Deployed self-service entry kiosks that generate QR passes
- Enabled tenant pre-registration, with QR ePasses
- Passes are access control enabled
- The system identifies returning visitors and reduces repetitive registration
- Automated notifications to tenant hosts upon visitor arrival
- Digital passes are validated directly at access barriers and automatically expire at midnight
Tenant Portal and Visitor Pre-Registration
- Tenant administrators have secure web consoles to pre-register visitors, manage visitor details, and define arrival windows
- Pre-registered visitors receive confirmation and ePass details digitally, reducing check-in queues at the gates
- If parking is opted, parking slots are automatically allotted to pre-registered visitors
- Central team has visibility into tenant-generated visitor appointments, arrivals, and parking usage
Unified Parking Quota Management
- Registered tenant 2-wheeler and 4-wheeler vehicles using UHF/RFID tags are linked to cloud records
- Visitor parking gets automatically allocated (if opted); tenant administrators can also reserve from their allocated quotas and monitor usage
- Parking slot is automatically deducted when a vehicle is allocated space; upon exit, it is automatically restored
- Real-time validation at entry prevents parking beyond tenant-specific quotas
The VersionX Parking Status App
- The app interfaces directly with tenant parking data to display real-time 2-wheeler and 4-wheeler available slot counts. The counts automatically update as vehicles enter or exit.
- It allows tenant staff with parking privileges to check slot availability across designated parking zones prior to arrival.
- The mobile app and the physical RFID boom barriers operate on a unified real-time database to manage vehicle access and slot counts. For example, when an employee’s vehicle approaches the entrance, the reader scans the windshield RFID tag. The system verifies the tag against the company’s allocation. If parking slots are available, the boom barrier automatically opens, and the available slot count on the mobile app decreases immediately by one.

Tenant organization names and available parking slots are displayed on LED boards across the parking bays.
Automated Physical Access Control
- Pedestrian flap barriers and vehicle boom barriers are unified with the visitor and parking systems
- Valid QR codes, PINs, and RFID credentials automatically trigger the appropriate access point
- Separate validation workflows distinguish parking users from non-parking visitors
Unified System and Infrastructure
The solution brought visitor management, parking, physical access, and tenant operations together through a connected edge-cloud architecture. Field devices (QR scanners, keypads, RFID/UHF readers, flap barriers, boom barriers, kiosks, and LED displays) and existing infrastructure were unified with VersionX software through IoT controllers, while cloud-based applications provided centralized management, real-time data, and tenant visibility.
How they Connect
- Visitor Access: Visitor management includes QR scanners, self-entry kiosks, and pedestrian flap barriers to enable digital credential validation at entry points.
- Vehicle Access: Parking management connects UHF/RFID readers, VersionX IoT controllers, and boom barriers for automated vehicle identification and access.
- VMS and PMS: Visitor and parking workflows are connected across the software and physical access layers.
- Visibility: Tenant-wise live parking data is displayed on the VersionX Live Parking Status App and LED boards, providing visibility of parking availability at the site and to tenant users.
- Tenants and Central Admin: Tenant-facing dashboards are connected to the central system, enabling tenant administrators to manage their own visitors, parking allocations, and related operational information.
Hybrid Edge-Cloud Architecture
VersionX IoT controllers formed the edge layer between the cloud platform and field hardware. Flap barriers and boom barriers continue to validate QR and RFID credentials even during network interruptions. Transactions synchronize back to the cloud when connectivity is restored.
Infrastructure Reuse
The implementation also retained existing boom-barrier infrastructure, replacing obsolete control logic with smart IoT controllers rather than requiring complete barrier hardware replacement. This allowed the existing physical infrastructure to be integrated into the modernized system while retaining legacy components.
